In the top right corner of the calendar view you will find some settings. Click on the settings icon and select what exactly you want to display in the shift. If you select “Show resources needed“, you will see how many employees you need for the shift. You can also view the tags that are stored in the shift for example.
For a better overview you can activate the full screen view, which is indicated by four diverging arrows in the upper right corner. The data refresh icon is located to the right of it. This is easily recognizable by a circle formed by two arrows.
You can use tags to categorize and filter your shifts. Click on the hashtag icon (#). There you will see tags which you have predefined. For example, if you select the tag #Earlyshift or #Lateshift, you will see which shifts are early shifts and which are late shifts in the shift schedule.
Some employees may have an icon next to their name. These are warnings. In the upper right corner, you can click on the exclamation mark to select which warnings you do not want to see when scheduling.
If any of the warnings should occur during your shift scheduling, a small number will be displayed to the upper right corner of your shift. Go directly into the shift and remove the employees where the shift does not fit and select an available employee instead.
If you want to easily copy the previous week’s shift schedule to the next week, go to the Copy icon, which is indicated by two overlapping sheets, and select which week you want to copy.
Important: When copying shifts and assignments, both the shifts and the scheduled employees will be copied. If you copy only the shifts, only the shifts will be carried over to the next week’s shift schedule, without the scheduled employees. Now you would need to assign new employees to the shifts.
You can also easily export the duty roster. For this we offer three different export types: List, Calendar and Resource. In order to export, click on the download button in the upper right corner and select which shifts from which days you want to export. You can set filters if you are interested in specific workspaces or tags by clicking the settings icon.
Click the Export button to download the selected export type.
When you have fully assigned your shifts, click on “Notify users“. Now all assigned employees will receive an email with your duty roster. If you make any changes, just hit the button again.
If you only want to edit one shift, you can go into individual shifts and notify the appropriate user.
Now there is also the possibility to switch from the timeline to a resource view to see more precisely when which employee is scheduled. You can also decide whether you want to display a specific week or all days of a month.
