In TimeTrack, you can review the hours recorded by your employees using the timesheet feature. You can find the timesheet under “Timesheets” in the Attendance Tracking module, specifically in the section Attendance > Timesheets. The timesheet displays scheduled and actual hours, any hour differences, allowances, and absences. Additionally, it shows last month’s cumulative hour difference and remaining vacation days. The timesheet is displayed monthly.
You can download the timesheet as a PDF, CSV, or Excel file. If your company structure is set up in your account and employees are assigned to departments, you can also download timesheets for multiple users simultaneously by selecting a department and downloading the timesheet as a PDF for employees within that department.
The timesheet is not automatically generated; it is created from either the project time tracking or attendance tracking modules.
Scheduled hours for the timesheet are based on the working hours model, while actual hours are the hours the employee records in TimeTrack, either as project or working hours.
Time entries or attendances can be added directly to the timesheet if an employee forgot to log them. Simply click the “plus” button on a specific day to enter the hours worked. To modify recorded hours, click the “info” button next to the hours, and you’ll be directed to either the “Weekly View” (for project time tracking) or “Attendance” view (for working hours tracking), where you can adjust the time entry.
More information about working time and break regulations can be found here.
The timesheet can display warnings if break or working time regulations are violated. By hovering over the warning, you can see which rule was breached, usually related to break duration or the length of the time entry. You can adjust these rules in Settings > Attendance and Leave > Break Regulations.
An employee’s timesheet can be locked to prevent them from editing recorded hours.
First, the timesheet lock must be enabled. Go to Settings > Attendance and Leave > General to activate the locks, and under “Timesheets,” you can lock an employee’s timesheet for a specific month. You can also do this for multiple employees by clicking the closed lock icon.
There are specific permissions related to the timesheet lock in the user profile, such as “Can edit locked time entries and attendances,” “Can lock Timesheet of team or department members,” or “Can lock any timesheets.” These permissions can be assigned to specific users under Data Administration > Users.
Employees can sign their own timesheets. As an admin, you can also sign timesheets on behalf of employees.
This feature must be enabled. You can activate the timesheet signature option in Settings > Attendance and Leave > General > Timesheet Signature.
You cannot prevent employees from recording their hours, but you can restrict the hours that count toward the timesheet. In the working hours model (Data Administration > Users), you can restrict hours either in general, by shifts, or by working time rules.
If you restrict working hours for the timesheet generally within the working hours model, employees can still record time entries/attendances outside this period, but only hours recorded within the defined period will be included in the timesheet.
The timesheet can be automatically generated using a workflow that creates attendances or time entries based on the working hours model.
Create a new workflow with a periodic trigger and define how often the workflow should run, whether weekly or more/less frequently. Select “Create Attendances from Working Hours Models” as the action and specify the employees for whom attendances should be automatically generated. Then, define the period during which the attendances should be created. The generated attendances will be incorporated into the timesheet as usual, and employees can adjust these attendances if necessary.
